RamProof Secure Email Guide

 

Purpose:

RAM PROOF secure email service is intended to address the need for communicating confidential data safely and securely. RAM PROOF utilizes encryption to conceal the content of a message, adding a valuable layer of security to ensure that the intended recipient can only read your message.

You should use RAM PROOF secure email whenever you send a message that contains sensitive information to recipients who are not WSSU faculty and staff. For guidance on the types of email content that should be encrypted, please review the IT and Security - Data Classification Standard.

Getting Started:

Sending emails to an external user

In a new email window via Outlook, type [secure] followed by the subject of the email. [secure] must be in brackets and included in the subject line to keep the email encrypted. Note: The email's subject line is not encrypted; therefore, you should not have sensitive information in the email's subject line.

Once the external user receives your email in their inbox, they will be directed to create an account to view/reply to the email.


Once the user has created an account, they will see the encrypted email via plain text from the RAMSecure portal. Then, a user can reply, forward, upload an attachment, or create a new email from the portal.

You will receive a notification stating that the external user has read your message. 

**NOTE** Receiving the portal message may take a few moments to appear, especially when sending a large file.


Once the email is sent from the portal, the message will appear in your inbox for further communication.

Remember, [secure] must remain in the subject line to keep the message encrypted.


 

Receiving emails from an external user

If an external user needs to send you an encrypted message, please inform them to create the mail via RamSecure:  https://securemail.wssu.edu/encrypt.  

Adding [secure] is not required, as the message is automatically encrypted through the portal. However, include [secure] when replying to the external user.

When the message is sent from the external party, you will receive an "end-user digest" message which will allow you to see who has sent the message and give you three different actionable options.

If you choose "Release," you will shortly see the original email in your inbox. "Release and Allow Sender" both sends the original email to your inbox and allow the sender to be able to send your emails without having to be flagged as possible spam.
