PeopleAdmin - Supervisor Update

Purpose
To ensure accurate supervisor is reflected.

Prerequisites
There has been a change in a supervisor due to retirement, resignation, promotion, and/or reorganization.  Supervisor must complete and submit Security Access Form and approved by Information Technology.

Procedures

  Responsible Party Action/Task
1. Hiring Manager Login to PeopleAdmin

Hiring Manager will log into PeopleAdmin using your WSSU network credentials.
2. Hiring Manager Access Login Status

The Hiring Manager will click on the drop-down box in the white section to make sure you are viewing the system from the Hiring Manager/Chair status. 

Special Note: Drop down arrow is beside the logout button.
3. Hiring Manager Go to Position Management Module

The Hiring Manager will click on the drop-down arrow at the top right-hand side and access the Position Management Module.

Special Note: It will be in Orange
4. Hiring Manager Access Position

The Hiring Manager will to go the Position Descriptions tab (second tab) and click on either SHRA or EHRA non-faculty to access the position.
5. Hiring Manager Modify Position Description 

The Hiring Manager will click on Modify Position Description and then click on the blue start button
6. Hiring Manager Reason for Modification

The Hiring Manager will select the appropriate reason (Supervisor Update) and indicate an explanation for the supervisor update in the Explanation/Justification/Comments section and then enter the proposed effective date of the Supervisor Update. Once complete click on the blue save button on the right.
7. Hiring Manager Review

The Hiring Manager will click on the Pending Actions Summary tab.
8. Hiring Manager Take Action on Pending Actions (Move through workflow)

The Hiring Manager will click on the orange button on the right that states Take Action on Pending Actions and send the request to the Hiring Authority. 
9. Hiring Authority Review and Approval

The Hiring Authority will review. If approved, the Hiring Authority will click on the Take Action on Pending Actions button and submit to the Funding Administrator (Budget or Contracts and Grants). If the action is not approved the Hiring Authority will return the action back to the VC/Dean.

Special Note:  The Hiring Authority will not be able to make any changes. If changes are made the action will have to go back to the Hiring Manager/Chair. 
10. Funding Administrator (Budget or Contract and Grants) Review and Approval

The Funding Administrator (Budget or Contracts and Grants) will review and if approved click on the Take Action on Pending Actions to submit to Human Resources.  If the action is not approved or need changes, the Funding Administrator may hold the action or return to the Hiring Manager. 
11. Human Resources  
Classification and Compensation 
Review and Approval

Human Resources will update the new supervisor and if there are questions contact either the Funding Administrator or the Hiring Manager. If approved, Human Resources will click on the Take Action on Pending Actions and indicate Position Approved and place a note in the comment box.
12. Human Resources 
Classification and Compensation
Enter Supervisor Update in Banner

Human Resources will enter the new supervisor on all required forms.
